Search, filter, and manage shipments across all carriers from a single admin view

Opening the Page

Navigate to Carriers → Shipments
The Preview Shipments page is the central admin tool for searching and managing shipments across all carriers. It requires billing.* permission to access.
From the top navigation bar, click Carriers, then select Shipments from the dropdown.

Page Default State
The page loads empty with the message "Add filters in order to see shipments." No data loads until you apply at least one filter and click Search. This keeps the query performant across large datasets.

Filtering Shipments

Text Search Fields
Three free-text fields let you locate a specific shipment directly:
Tracking Number — the carrier tracking number
Billing Entity Invoice Number — the invoice number on the customer's bill
Reference — any reference value attached to the shipment
Enter any one of these and click Search to jump straight to a specific shipment.

Dropdown Filters
Use the dropdown filters to narrow results by carrier, customer, or billing state:
Carrier Category — Parcel or Freight
Carrier — specific carrier (populates based on category)
Services — multi-select; filter to specific service levels
Corporation — filter by corporation
Company — filter by company within a corporation
Salesman — assigned sales rep (searchable)
Billing Entity — the customer billing account
Invoice Number — a specific billing run invoice
Flagged — show flagged or unflagged shipments only
Billing Status — current billing state of the transaction
Included On Bill — whether the shipment is included in a bill
Markers — any special markers on the shipment
Third Party — filter by third-party billing status

Address and Advanced Filters
Two expandable sections reveal additional filter options:
+ Show Address Filters — filter by origin or destination address fields
+ Show Advanced Filters — access additional criteria not shown by default
Click either button to expand the section. Click again to collapse.

Run or Reset a Search
Once your filters are set:
Click Search to load matching shipments into the results table.
Click Clear Filters to reset all filters back to defaults.
The EXPORT and EXPORT Salesman Report buttons remain disabled until results are loaded.

Results Table Columns
After a search runs, the table displays one shipment per row with these columns:
Select — checkbox for bulk-selecting rows
Carrier / Zone — carrier identifier and shipping zone
Tracking / Date / Carrier Invoice / Invoice Number — multi-line cell with tracking number, ship date, carrier invoice reference, and WebShip invoice number
Billing Entity / Rep — the customer billing account and assigned salesperson
Package Info — weight, dimensions, and package type
Carrier Bill — what the carrier charged
Customer Bill — what the customer is billed
Status — current shipment status
Actions — row-level action menu

Exporting Results
Once results are loaded, two export options become available:
EXPORT — exports all shipment columns for the current filter set
EXPORT Salesman Report — exports a salesman-focused summary of the same results

Row-Level Actions

Open the Actions Menu
Click the Actions button on any row to open the per-shipment action menu. Available options depend on your permissions. Common actions include:
Toggle Include on Bill — include or exclude this transaction from the customer's bill
Toggle Transaction Flag / Toggle Shipment Flag — manually flag or unflag the record for review
Credit & Reassign — credit the shipment and reassign it to a different carrier or service
Request Carrier Rebill — send a rebill request to the carrier
Toggle Charge Published Transportation — switch between the published rate and the contracted rate
Charge Carrier-Rated Weight — bill the customer at the carrier's rated weight
Update Carrier Shipment Data — edit raw carrier data fields on the shipment
Update Per-Package Data — edit per-package fields such as weight and dimensions
Don't Apply GSR — disable Guaranteed Service Refund handling for this transaction
Get Quote — re-quote the shipment at current rates
Credit — issue a credit for this shipment
Update Published Transportation — update the published rate on the shipment
Update Carrier Service — switch the service code on the shipment
Undo Reassignment — revert a prior carrier reassignment
Trash Carrier Shipment — soft-delete the carrier shipment record

Manual Transactions
You can add a manual line item to any shipment using Create Company Transaction from the Actions menu. Use this to record adjustments or charges not captured automatically.
Existing manual transactions can be updated with Update Transaction or permanently removed with Delete Company Transaction.

Bulk Actions

Select Multiple Rows
Use the checkboxes in the Select column to choose multiple shipments at once. Once one or more rows are selected, bulk-action buttons appear above the table.

Available Bulk Actions
The following actions apply to all selected rows at once:
Mass Include on Bill — include or exclude all selected transactions from billing in one step
Mass Flag — flag or unflag all selected shipments for review
Mass Reassign — reassign all selected shipments to a different carrier or service
Bulk actions require billing.* permission. Without it, the Actions column and bulk controls are not visible.
Completed
You can now search, filter, and take action on shipments from the Carriers → Shipments page in WebShip.
